Privacy Policy – Mapping for Change research project for Coin Street

Mapping for Change (“we’, ‘our’ and ‘us’) has been commissioned by Coin Street Community Builders ‘CSCB’ to conduct a public sentiment research project (the “research”) involving the residents, tenants, service users and stakeholders (“you”) of Coin Street. We have been instructed to conduct the research to assist Coin Street to assess its effectiveness and identify areas for improvement.

CSCB has commissioned this research on behalf of all the entities of the ‘Coin Street Group’ including CSCB, Coin Street Secondary Housing Co-operative (CSS) and Coin Street Centre Trust (CSCT), as well as its housing co-operatives (Redwood Housing Co-op, Palm Co-op, Ikoro Housing Co-op and Mulberry Housing Co-op).

This privacy policy describes what personal data we need to collect to conduct the research and how and why we use it. This policy also describes the options we provide for you to access, update, or otherwise take control of your personal data that we process.

You are not required to participate in the research and provide your personal data to us, but any personal data you do provide will be processed in accordance with this policy.

1. What personal data we collect

When we refer to “personal data,” we mean information that can be used to identify a person or can be linked directly to an individual. It does not include information where we have fully and effectively removed the identity of the individual (anonymous data).

We may collect personal data about you including:

  • your contact details (including address, email and telephone number);
  • your biographical information, including name and date of birth;
  • information relating to your tenancy and your household;
  • your socio-economic information i.e. information relating to your family and your income;
  • your personal opinion relating to Coin Street’s provision of services and
  • any other correspondence that we have with you or information that you provide to us in respect of the research.

Sensitive Personal data

Under data protection legislation, certain personal data is considered more ‘sensitive’ (e.g., information relating to race, religion, political affiliation and health). This is also known as ‘special category data’.

As part of the research, our questions may result in you providing personal data:

  • revealing racial or ethnic origin; political opinions; religious or philosophical beliefs; health; data concerning your sex life and sexual orientation;
  •  relating to criminal convictions and offences; and/or
  • revealing sensitive socio-economic information.

2. How we obtain your personal data

We collect personal data about you that you have given us in different ways, for example where you:

  • respond to our surveys or questionnaires regardless of the medium such as face-to-face, on paper or online;
  • attend one of our focus groups, community events or any other meeting relating to the research;
  • enter one of our incentives such as a prize-draw; and/or
  • communicate with us directly.

3. How we use your personal data

We will use your personal data to conduct our research and provide our findings to the Coin Street Group and/or the Coin Street housing cooperatives. We will therefore use your personal data to:

  • inform our research as the project progresses;
  • provide analysis and insights as a result of our research. We will generally provide the research results in an anonymised form but there may be some instances in which, as a result of the context, you remain personally identifiable;
  • provide information relating to individuals who may require assistance for fire safety purposes; and/or
  • conduct our incentives (i.e. prize draws).

4. Our lawful bases

We will only use personal data when the law allows us to (i.e., where we have a ‘lawful basis’). Most commonly, we will use your personal data where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests. We have a legitimate interest in facilitating the research which is aimed at evaluating Coin Street and identifying areas for improvement. 

Where we process special category information, we may do so on the basis:

  • that the processing is necessary for the purposes of scientific or statistical research purposes in the public interest;
  • that the processing is necessary for the purposes of protecting an individual from neglect or harm, or protecting the well-being of an individual, where the individual is aged under 18 or is at risk; and/or
  • your explicit consent.

We do not carry out any automated decision-making using personal data which produces legal effects or otherwise significantly affects individuals.

5. How we share your personal data

We may share your personal data with third parties, including the following:

  • with Coin Street or the Coin Street housing co-operatives to deliver the results of our research;
  • with third parties that provide services to us (such as IT support services);
  • pursuant to a court order, or other legal process or as otherwise required or requested by law, regulation, or public authority, or to protect our rights or the rights or safety of third parties;
  • with our professional advisors or the professional advisors of Coin Street; or
  • with your consent or as otherwise disclosed at the time of data collection or sharing.

6. International data transfers

The research itself does not necessitate the transfer of personal data outside of the UK, however if such a transfer will take place, we will take steps to ensure that your personal data is protected in accordance with appropriate safeguards under data protection legislation, such as approved standard contractual clauses.

To protect your privacy we will make sure your personal data is kept securely and disclosed only in accordance with this policy. We seek to use appropriate organisational, technical and administrative measures to protect personal data within our organisation. If you have reason to believe that your interaction with us is no longer secure, please immediately notify us in accordance with the “Contact us” section below.

Please note that we may ask you to verify your identity before taking further action on your request.

  • You may access and request copies of any information we hold about you;
  • You have the right to ask us to correct inaccurate or incomplete personal data concerning you;
  • In certain circumstances you will be able to ask for your data to be deleted. This will not apply in all cases where we have a legal obligation or operational requirement to retain the personal data;
  • You may request that we stop processing your personal data. We may not be able to stop processing your personal data where we have a legal obligation or operational requirement to continue to process it;
  • You may object to the processing of your personal data in certain circumstances;
  • You may request that your data is transmitted to a separate service provider or organisation; and
  • You may withdraw consent where you have given us consent to use your personal data at any time. If you withdraw consent, we will stop using your personal data, unless we are required to process it for a different purpose (for example, the information is necessary to comply with a legal obligation). If you decide to withdraw your consent, this will not affect the lawfulness of our processing before your consent was withdrawn.
